Operations Manual Specialist

An industry-leading aviation safety group is seeking an entry-level Operations Manual Specialist to support its continued growth. This is an excellent opportunity to gain valuable experience in project management and customer support, as well as the business aviation industry and the safety sector. The company develops Safety Management Systems (SMSs), offers proprietary SMS software, and produces operations manuals for thousands of customers. The worldwide customer base and expanding target market includes Fortune 500 flight departments, aircraft management companies, and private owner/operators of business jets.

A. Principal Responsibilities:

  • Verify that all operations manual content is in accordance with applicable regulations, accreditation standards, and industry best practices.
  • Research various topics for customers and team members and concisely present this information via telephone, email, or in person.
  • Copyedit documents for spelling and grammar.
  • Perform content and formatting quality assurance checks.
  • Print, assemble, pack, and ship manuals to customers.
  • Communicate with customers via online meetings, phone calls, and email; provide guidance and status updates as needed.
  • With training and support from the team, confidently facilitate online training and operations manual development sessions.
  • Answer company phone and email; respond to or forward messages, as appropriate.
  • Schedule meetings with customers; send meeting invitations, confirmations, and reminders, as appropriate; update the internal calendar.
  • Create and update records in the customer relationship management system.
  • Clearly convey the features and benefits of AviationManuals’ services with prospective customers.
  • Draft, send, and track proposals and invoices using existing templates.
  • Process and record customer payments, as necessary.
  • Periodically provide input and content for the company blog and email newsletter.
  • Support the team in various tasks and projects, as requested.
  • In collaboration with the team, develop and implement process improvements.

B. Qualifications: Required

C. Qualifications: Desired

  • Work (or internship) experience with document management and copyediting.

  • Familiarity with Safety Management Systems, particularly for aviation operations.
  • Familiarity with the IS-BAO accreditation standard.

Aviation Specialist

A. Responsibilities / Duties:

  • Continuous research and documentation of aviation technical data.
  • Maintain and build relationships with aviation regulatory authorities (FAA, DCA, CAA, etc.).
  • Provide expeditious service to operators seeking approval for domestic and/or international operations into MNPS, RVSM, RNP-10/4, and P-RNAV airspace, including use of avionics such as Data Link Communications (ADS-C / CPDLC).
  • Develop Emergency Response Plans and aviation security programs.
  • Communicate effectively and confidentially with operators worldwide.
  • Support flight departments in developing a Safety Management System and Standard Operating Procedures aligned with industry best practices.
  • Represent AviationManuals and corporate aviation while participating in business aviation organizations / groups promoting safety of flight and the regulatory change process.
  • Ensure security of AviationManuals materials, projects, and business information regarding the methods and techniques used in the production and use of AviationManuals products and services.
  • Accountable for the accuracy and completeness of manual development.

B. Qualifications:

  • Must be computer literate with the ability to present information and facilitate development via web-based products.

C. Preferred Qualifications:

  • Airline Transport Pilot (ATP) corporate aviation with at least one (1) type rating or extensive Executive Dispatch Flight Operations management experience.
  • Flight / Ground Instructor experience.
  • Corporate Aviation – International Operations Experience.
  • Experience implementing a Safety Management System.
  • IS-BAO Auditor Accreditation.

Editor / Document Specialist

A. Responsibilities / Duties:

  • Lead and/or support development of manuals, programs, and other documentation to support flight departments.
  • Copyedit and reformat text provided by clients to match our company standards and style guidelines.
  • Provide expeditious service to operators seeking approval for domestic and/or international operations into MNPS, RVSM, RNP-10/4, and P-RNAV airspace, including use of avionics such as Data Link Communications (ADS-C / CPDLC).
  • Communicate effectively and confidentially with operators worldwide.
  • Support flight departments in developing a Safety Management System and Standard Operating Procedures aligned with industry best practices.

Writing / Editing Skills:

  • Strong ability to copyedit all written text (formatting, spelling, grammar, mechanics, etc.).
  • Ability to review text for accuracy and consistency of content.
  • Willingness and ability to research and comprehend technical and regulatory standards.
  • Ensure technical and/or regulatory compliance of text generated both in-house and by clients.

Project Management Skills:

  • Ability to prioritize tasks and projects to meet client expectations.
  • Ability to think ahead and anticipate deliverable dates.
  • Ability to serve as the main point of contact with assigned clients and coordinate the work effort with team members to provide timely and efficient service.

Business Aviation Sales and Marketing Coordinator

A. Responsibilities / Duties

  • Clearly convey the features and benefits of AviationManuals services with prospective customers.
  • Respond to sales inquiries and send follow-up communications via email and telephone.
  • Contact prospects to determine their needs and interest level.
  • Independently pursue routine sales opportunities.
  • For complex sales opportunities, set up appointments for the President and/or Chief Operating Officer.
  • Notify the production team of new sales and communicate the necessary background information.
  • Create and update records in the customer relationship management software.
  • Draft, send, and track proposals and invoices using existing templates.
  • Create and manage sales opportunity follow-up lists.
  • Monitor sales performance and suggest tactics to meet or exceed targets.
  • Collaborate directly with the President and Chief Operating Officer to implement sales and marketing strategies and tactics that improve customer service and increase sales.
  • Coordinate and evaluate SEO/keyword campaigns and advertising/sponsorship opportunities.
  • Provide input and content for the company blog and email newsletter.
  • Support the preparation for industry events and onsite customer visits.
  • Periodically represent AviationManuals at industry conferences and meetings.
  • Demonstrate a professional demeanor and maintain customers’ confidentiality.
